The goal is to agree on a general type of vacation (e.g., “a relaxing beach resort” or “a national park adventure”), a rough timeframe (e.g., “next summer”), and a tentative budget. Getting everyone’s buy-in from the start is the foundation of a successful trip.

Next Month: Do the Focused Research. Once you have a direction, one or two designated “planners” can dig into the specifics. Research flights into your target region. Get quotes for vacation rentals or check rates for resorts or lodges. Create a simple spreadsheet with estimated costs for lodging, transportation, and major activities. Present two or three solid, well-researched options to the group for a final decision.

Within Three Months: Make Your Core Bookings. Once a decision is made, it is time to act. This is when you should book your flights, put a deposit on your lodging, or reserve your cruise. These big-ticket items are the framework of your trip. Waiting too long can lead to higher prices and limited availability, especially when planning for a large group. Also, check that everyone’s passports are valid if you are traveling internationally.
